Set up your organization

Configure your business name, country, currency, tax profile, and branding — the details that appear on every document.

Your organization is your business inside PaidFast. Its settings decide how invoices look, which currency they're raised in, and how tax is applied. You set this up once during onboarding and can refine it any time.

#During onboarding

The first time you sign in, PaidFast walks you through the essentials:

#Business name

The legal or trading name of your business. It appears on every invoice, quotation, receipt, and in the customer portal.

#Country

Your country sets sensible defaults for currency and tax, and unlocks country-specific features such as Kenya eTIMS compliance.

#Currency

The default currency for the documents you raise. You can still issue individual invoices or quotations in a foreign currency — see Currency and foreign invoices below.

#Tax profile

Your tax registration details — for example your KRA PIN in Kenya. These appear on compliant invoices and are used when validating documents against a tax authority.

#Branding

On the Starter plan you can replace the default PaidFast branding with your own:

  • Logo — shown on invoices, quotations, receipts, and the customer portal.
  • Brand colour — used as the accent colour on your customer-facing documents and portal.

#Seller / contact details

Set the email and phone number customers should reach you on. These are used as the reply-to on invoice emails and as the contact shown in the portal.

#Currency and foreign invoices

PaidFast supports billing in a currency other than your base currency:

  • Each invoice or quotation records the currency and an exchange rate to your base currency.
  • Local amount = foreign amount × exchange rate.
  • Payments are locked to the currency of the invoice, so a customer always pays exactly what they were billed.

This lets you quote an overseas client in, say, USD while still reporting totals in your home currency.

Tip: Get your organization details right before sending your first invoice — the business name, tax number, and logo are baked into every document you send.
