Create an invoice
Step-by-step: build an invoice with line items, tax, and discounts, then save or send it.
You can raise an invoice in a couple of minutes. Open Create invoice from the sidebar to begin.
#1. Choose the customer
Pick an existing customer or add a new one inline. To send the invoice from PaidFast, the customer needs an email (for email delivery) or a phone number (for WhatsApp).
#2. Add line items
For each product or service, add a line with:
- Description — what you're billing for.
- Quantity.
- Unit price.
- Tax — applied per line based on your tax settings (for example VAT).
- Discount — optional, per line or on the whole invoice.
You can pull items from your price list so you don't retype common products. PaidFast recalculates the subtotal, tax, and total as you type.
#3. Set the details
- Invoice date and due date — the due date drives reminders and the overdue status.
- Currency — defaults to your organization currency; switch it to bill a foreign customer.
- Notes / terms — payment terms or a thank-you note shown on the invoice.
#4. Save or send
- Save as draft — keep editing later. Drafts don't count as sent and don't notify the customer.
- Send — deliver the invoice now by email or WhatsApp with a payment link.
#Tips
- Bill in a foreign currency by choosing the currency and setting the exchange rate; the customer pays in that currency and your totals convert to your base currency. See Currency and foreign invoices.
- Reuse a quotation instead of starting fresh — an approved quotation converts to an invoice in one click.
- Kenya: if eTIMS is enabled, the invoice is validated for compliance on send. See Kenya eTIMS.
#What happens next
Once sent, the invoice appears under Invoices as Sent, the customer gets a payment link, and PaidFast tracks the balance. When payment clears, it's marked Paid and a receipt goes out automatically.
