Quotations

Send professional quotes, let customers approve them online, and convert an approved quote to an invoice in one click.

A quotation (or quote) is a priced proposal you send before doing the work. In PaidFast a customer can review and approve a quote online, and once approved it converts to an invoice in a single click — no re-keying.

#Creating a quotation

Open Quotations → New quotation and build it just like an invoice:

  • Choose the customer.
  • Add line items with descriptions, quantities, unit prices, tax, and discounts.
  • Set a valid-until date so the quote expires if not accepted.
  • Add notes or terms.

#Sending a quotation

Send the quote by email or WhatsApp, the same way you send invoices. The customer gets a link to view it online.

#Customer approval

From the link, the customer can approve the quotation online. When they approve:

  • The quotation is marked Approved.
  • You can convert it to an invoice with one click.

This gives you a clear, timestamped record that the customer agreed to the price and scope.

#Converting to an invoice

Once a quote is approved, choose Convert to invoice. PaidFast copies the customer, line items, tax, and totals into a new invoice, ready to send. From there it follows the normal invoice lifecycle.

#Quotation statuses

Status Meaning
Draft Being edited; not yet sent.
Sent Delivered to the customer, awaiting a decision.
Approved The customer accepted; ready to convert to an invoice.
Declined / Expired The customer declined, or the valid-until date passed.

#Plan limits

You can raise up to 10 quotations per month on Free and 100 on Starter. See Plans.
