Invoices overview
What an invoice is in PaidFast, its lifecycle, and how it moves from draft to paid.
An invoice is a request for payment you send to a customer. In PaidFast an invoice carries your branding, line items, tax, a due date, and a secure payment link your customer can use to pay online.
#The invoice lifecycle
An invoice moves through a predictable set of states:
Draft → Sent → Partially paid → Paid (or Overdue if the due date passes while unpaid)
- Draft — you're still editing it; nothing has been sent.
- Sent — delivered to the customer by email or WhatsApp, with a payment link.
- Partially paid — some, but not all, of the balance has been collected.
- Paid — the full balance is settled; a receipt is issued.
- Overdue — past the due date with a balance still outstanding.

#What's on an invoice
- Your organization — name, logo, tax number, and contact details.
- Customer — who's being billed.
- Line items — description, quantity, unit price, and optional tax/discount per line.
- Totals — subtotal, tax, discounts, and the amount due.
- Currency — the currency the invoice is raised in (see Currency and foreign invoices).
- Due date — when payment is expected; drives reminders and the overdue status.
- Payment link — a secure link to the customer portal to pay online.
#Common tasks
- Create an invoice — build one from scratch or from a customer.
- Send & share invoices — email, WhatsApp, or a shareable link.
- Track statuses — see what's paid, pending, and overdue.
- Record a manual payment — for cash or bank transfers made outside PaidFast.
- Issue a credit note — to correct or reverse an invoice.
